Daily Procedures:

For the early shift, the first thing we do is get the phone, TV monitor, etc. set up.  Then we put names on the doors of the green rooms, if they’re not already there.

The announcements that are made from Main Stage are mostly the same from year to year (Friends of Bill W, Pancake Breakfast, support the fest by buying merchandise, raffles, CD signings, etc). The executive trailer usually calls down with other announcements.

Duties and Responsibilities:

  • Greet and welcome Performers to Green Room area
  • Assign Green Rooms to Main Stage performers
  • Work with performer’s road managers to align schedules
  • Ensure that performers are kept informed of their schedules for main stage and signing tent
  • Monitor Green Room use by performers
  • Check to make sure rooms are clean before new performers arrive
  • Check that coolers are filled with water and beverages
  • Interface with Main Stage Manager to keep the schedule updated for performers
  • Interface with CD Signing Crew to keep to their schedules for performer meet and greet at the Merchandise Tent
  • Limit access to Main Stage Performers’ meal area to those with proper credentials
  • Request musicians to sign festival posters and memorabilia as asked by Coordinator
  • Works in conjunction with Cart Crew to arrange transport for performers leaving grounds or going to CD signing
  • Creates cards for announcements between acts for main stage emcee
  • Contact appropriate responders to handle situations as necessary
  • Call for medical assistance as necessary
  • Contact Central Control when Potty Queens need maintenance
  • Call for garbage and recycling removal from the area as required
  • Assists any person who requires help directly, referring people in need of assistance to the proper coordinator or area of responsibility, ex. first aid, lost & found, etc.
  • Place orders for dinner for Production Backstage area crews and Main Stage crew
  • Answer phones
  • Take and relay messages to appropriate people
  • Ensure that all Fest equipment (phones, monitors) is returned to appropriate area before leaving for the night
  • Remain at post until all tasks have been completed and tables are clear
  • The announcements that don’t change from year to year are usually kept in the plastic bin with the markers, magnetic boards, etc. Then we add to them or revise, as needed.
